Cheval Catering Policies


Function Sheet – A party contract must be signed by the host of the party and the representative of Cheval Golf and Country Club. The contract details the specifics, including menu selections of the function. It is important that this document be thoroughly reviewed by the host to ensure all details are correct.

 

Guarantees - A final confirmation or “guarantee” of your anticipated number of guests is required by 12:00 noon three business days before any banquet function to ensure proper ordering and staffing for your event.


Deposit and Payment Policies - An initial non-refundable deposit of 20% of anticipated event costs is required for all catered events at the time the menu is finalized and the function contract is signed.  Fifty percent payment of the remainder of anticipated event costs is to be received at the time of final confirmation; three business days before the event.  Any balance shall be received at the end of the function unless prior arrangements have been made with the Club.


Cancellations - Advance deposits are completely refundable until 120 days prior to the scheduled event. Advance deposits are non-refundable within 120 days of the scheduled event.


Other Services – Cheval is happy to refer you to various professionals who can provide added services such as Musicians, Florists, Photographers, Decorators, Valet Service, Rental Companies, and other services to enhance your event.  In the event you wish the Club to handle these details for you, they can be arranged through the Club and are subject to a 25% handling fee.


Flowers and Decorations - Decorations are an important factor in creating ambiance and setting just the right mood for your guests. We ask that all decorations be confined to your specific reserved room(s).  Additionally, all decorations must be limited to tabletop or freestanding displays that do not require fixation to walls, windows, doors, ceilings, woodwork or furniture by tacks, tape, nails or staples.  Since the Club cannot be responsible for any personal items, all decorations should be delivered to the Club the day of your function and taken with you upon departure.  The Club will not be responsible for articles left after a function.


Ice Carvings – We can provide custom designed ice carvings to highlight your special occasion. Price will be dependant on style of ice carving chosen.


Entertainment - The Club welcomes outside entertainment for your event.  We will be happy to provide you with a list of recommended entertainers.  Please know that it is the responsibility of the host to advise musicians that amplification must be confined to your specific room and that musicians must follow the dress code of the Club at all times, including set-up and breakdown.  As the Club presently has no upright piano and your musicians may require one, we will be happy to recommend rental companies with which you may deal.

 

Additional Labor Fees - The Club reserves the right to charge a service fee for setup of rooms with extraordinary requests; e.g. birdseed cleanup or ceremony set-up and break down.

Wedding Cakes - Costs determined through discussions with our pastry chef.

Audiovisual Equipment - The Club will be pleased to help you with your audiovisual needs with two days prior notice. The following equipment is available for your use:

Bartender Charge - All hosted bars require a $25.00 per hour bartender fee.  The charge will be waived if beverage sales exceed $250.00.


Liquor Regulations - Cheval holds a liquor license granted by the state of Florida and is responsible for complying with state regulations.  These include not allowing patrons to bring alcoholic beverages onto our property; serving anyone under the age of 21; serving anyone who appears to be intoxicated; or serving alcohol for off-premises consumption.  If there is any question, the staff of Cheval is advised to err on the side of caution.

Valet Parking - As the Club does not have valet staff, we will be happy to suggest local valet parking companies with which you may make arrangements.

Room Fees include all costs of setting up, breaking down, and cleaning of the rooms used.  The Club reserves the right to adjust room fees based on specific needs of the event.

Outside Events - Arrangements may be made to have outside functions under tent and using the Club’s lower patio for buffets or outdoor grille functions.  The Club will be happy to assist you with your needs.
